Terms
Terms of Service
These terms apply to every organisation and user of Essentriq. They are short on purpose. If your organisation signs a separate agreement with us, that agreement takes precedence where the two differ.
Last updated: October 2026
- 01
The agreement
By creating a workspace, accepting an invitation or signing in, you agree to these terms on behalf of yourself and, where you act for one, your organisation. If you do not have authority to bind your organisation, do not create a workspace for it.
- 02
Accounts and workspaces
A workspace belongs to the organisation that created it. Workspace administrators control who is invited, which roles they hold and which systems are connected. You are responsible for keeping your credentials private and for activity under your account.
Every action in a workspace is recorded in the audit trail with the acting user. Administrators can review it at any time.
- 03
Trials, plans and billing
New workspaces start with a 14-day trial of the plan you choose. Approvers, auditors and requesters are never billed. Plans, included seats and prices are those shown on the pricing section of our website at the time you subscribe.
Subscriptions are billed through Stripe and renew automatically until cancelled. You can change or cancel your plan in Billing settings; cancellation takes effect at the end of the current period. We will give at least 30 days notice before any price change applies to you.
- 04
Acceptable use
- Load only data your organisation is entitled to process.
- Do not try to access another organisation's workspace, bypass access controls or probe the service for weaknesses without written permission.
- Do not use Essentriq to break the law or the rights of others.
- Do not resell the service or build a competing product from it.
We may suspend access that puts other customers or the platform at risk, and we will tell the workspace administrators when we do.
- 05
Customer data
Your organisation owns its workspace data. We process it only to provide the service, as described in the Privacy Policy. We do not sell it, share it for advertising or use it to train models.
Assist features draft; people decide. Any proposal from Assist is applied only after a person with the right role accepts it, and the acceptance is logged.
- 06
Availability and support
We work to keep the service available and to fix problems quickly. Planned maintenance is announced to administrators in advance where possible.
Not yet published: A published uptime commitment (SLA) and support response targets are not in place yet. They will appear on the Security page when they are.
- 07
Warranties and liability
The service is provided as described on our website and in the product. Beyond that, it is provided as is, without implied warranties, to the extent the law allows.
To the extent the law allows, our total liability for any claim arising from the service is limited to the fees your organisation paid us in the twelve months before the claim. Neither party is liable for indirect or consequential loss. Nothing here limits liability that cannot be limited by law.
- 08
Termination
You can delete a workspace at any time from its settings. Deletion destroys the workspace encryption key, after which the data cannot be recovered. Export what you need first; workspace and audit exports are available in the product.
We may end the agreement for serious or repeated breach of these terms after giving notice and a reasonable chance to fix the problem, except where the breach threatens other customers.
- 09
Governing law
Not yet published: The governing law and venue for disputes will be stated here once confirmed. Until then, disputes will be handled in good faith by direct discussion first.
- 10
Changes and contact
If we change these terms in a way that matters, we will update the date above and notify workspace administrators by email before the change takes effect.
Questions about these terms go to [email protected] or through the contact page.
